A firm that runs a community engagement platform of over 50 schools, many of them ivy league, is looking for an Executive Assistant/Office Manager to support the CEO/Founder and assist with running the office. The company has branches in New York, San Francisco and Paris. The CEO is Parisian, and needs an EA to work with him to make his life easier. The office is collaborative and upbeat with a staff of 7 ppl. The dress code is casual.
About the Job:
Schedule meetings
Pay bills
Vet the CEOs emails and respond on his behalf and prioritize them
Pay quarterly taxes and keep track of tax schedule
Answer employee questions related to HR (vacations, health plan, etc.)
Purchase electronics on Amazon
Online research for purchases
Research prospects for the firm and marketing opportunities
Make restaurant reservations
Track progress of internal projects
Enter info into CRM
Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
Assist in maintaining an ever-changing calendar
Prioritize emails and draft responses
Coordinate complex travel arrangements (domestic, international, business and personal)
Assist the CEO in the personal arena by booking appointments, gift buying, vacation travel
Office Manager duties: stock supplies, contact building management when necessary


About You:
Minimum of 5 years of experience in a related support position
BA/BS from a college or university
Excellent Microsoft Office skills (Word, Excel, PowerPoint and Excel)
Excellent phone manners
Dynamic and proactive
Polished, professional demeanor
Proactive go-getter; no task is too big or too small
Outstanding communication skills
