Meeting and Event Coordinator / Sales Assistant: Looking for a self-motivated, go-getter to join a busy and efficient meeting and event department within a billion-dollar travel company. This part time, to potentially full time, independent contractor position will report directly to the Director of Sales, Meetings and Events and work with the Meetings and Events Department in conducting hotel and venue site sourcing, negotiation and contracting for internal clients. Other duties will include assisting the Director of Sales with client prospecting and database management.? This position is based?at our Manhattan Headquarters


Experience and Educational Requirements:

  • 1+ years in Meeting and Event industry (Corporate and Legal focus a plus / 2+ years preferred)
  • Meeting and Event Certificate program enrollment or completion preferred (college degree a plus)

Day-to-day Duties:

  • Client facing: Must maintain professional appearance and communication with client (internal and prospects) as well as all vendors
    • Conduct site visits of hotels and venues
    • On-site assistance
  • Main responsibility: Meeting and Event Coordinator:
    • Request for Proposal (RFP) development
    • Hotel and venue sourcing: research and prequalification
    • Negotiations
    • Reporting preparation and development
    • Contracting
    • Reconciliation and internal reporting management
  • Main responsibility: Sales Assistant
    • Data entry and database management
    • Prospect research
    • Appointment setting

Presentation preparation and development


Skills:

  • Knowledge of Cvent Registration/Sourcing platform a plus (RFP development and hotel sourcing process)
  • Proficient in Microsoft office (Word, Excel, PPT)
  • Proficient in data entry and database management (Experience in Sales Force a plus)
  • Can navigate LinkedIn (and/or) LinkedIn Sales Navigator

Additional:

  • 20-25 hours per week
  • Some travel required for programs and meetings (mostly local)
  • Work at HQ office based in NYC
    • HQ based in Unions Square (Grand Central in Dec 2019)
    • Satellite office in White Plains, NY- Some occasional travel to this office is required (accessible via Metro-North)
  • Days in office are flexible with base schedule (M/W/TH preferred)
